A label is not a substitute for proper testing, maintenance or day-to-day visual checks. It does, though, help staff quickly understand whether equipment has been assessed, when it was tested and how it can be traced in the test records. When hundreds or thousands of appliances are spread across an office, school, care setting or managed property, that clarity matters.

What PAT labels for business equipment should show

The information shown varies according to the testing provider and the needs of the site. A clear, durable label will normally state whether an item has passed or failed, the test date, a retest or review date, and an appliance or asset identification number. The asset number is particularly useful. For some small items, a numbered tag or an asset register may be more practical than a large sticker.

A date should therefore reflect the site’s risk-based testing schedule, not a blanket assumption. If circumstances change – perhaps a room becomes a workshop, equipment is moved between sites, or an appliance is repaired – the inspection approach may need to change too.

On a single small site, it may be possible to remember where key appliances are located. Across multiple floors, buildings or properties, memory is not a control measure. Consistent PAT labelling makes it easier to identify untested items, confirm assets included in a programme and spot equipment that has appeared on site without being added to the register.

It also reduces disruption during future visits. When appliances already carry clear asset numbers, engineers can work systematically, records can be updated efficiently and staff are less likely to be asked repeatedly whether an item has been tested. This is particularly valuable in schools, healthcare settings and busy offices where access must be planned around daily operations.

A well-organised label system can support wider asset management too. It can highlight duplicate equipment, old appliances nearing replacement, and items that have moved away from their recorded location. The benefit is not paperwork for its own sake. It is better visibility of equipment that people rely on every day.

The best results come from planning before the engineer arrives. Identify the areas to be tested, agree access arrangements and let staff know what will happen to equipment during the visit. Where possible, make appliances accessible and ensure responsible contacts are available for rooms with restricted access.

It is also sensible to decide how new equipment will enter the system. A new appliance may be supplied with a manufacturer’s declaration and may not require immediate electrical testing, depending on the risk assessment. It should still be added to the asset register and subject to routine user checks. Second-hand items, donated equipment and appliances brought in by staff deserve more careful consideration before use on business premises.
